The Bid Co-ordinator Role

The Bid Team needs administrative support for the day-to-day emails and paperwork that accompany winning new work. This starts with filtering down job opportunities, which are sent to us on a daily basis, to find the most relevant ones for us to apply for. We will provide training on the types of works we undertake and this process receives full support from the team and Group Bid Manager, who will make the final decision about works we opt to bid for.

The Bid Co-ordinator will also receive daily updates on the bids we are working on. It is essential that each email is saved and forwarded to the correct people, so that everyone involved knows the current state of play and we have an accessible record for each bid.

The person we need

We are looking for an experienced administrator with meticulous attention to detail and strong organisation skills. We need someone who will make sure every task is handled with the utmost care, from start to finish and will take full ownership for their role.

Daily communication with the Bid Team and Group Bid Manager is essential, as is communication with people from across the business. Emails are useful for a paper trail, but it is also important that relationships are built through telephone conversations with key people from across the business.

Main responsibilities include: 

  • Filtering new work opportunities for those relevant to our business
  • Taking full responsibility for all Bid Team email communications, including portal communications such as clarifications
  • Renewing certificates and memberships
  • Creation of job folders for our team of Bid Writers
  • Preparation of Approved Lists (basic level bid questions – training provided)
  • Proof reading
  • Other office administrative tasks as and when required

 

Skills and Qualities Required:

  • Meticulous attention to detail
  • Organised
  • Good communicator, confident in using both email and telephone
  • Self-motivated
  • Good literacy skills
  • Willingness to follow set processes
  • IT skills: Microsoft Packages and a willingness to learn new software

 

Job details:

  • Based in our Head Office in Southampton
  • Full-time – 8.30am-5pm
